We’re looking for a Recruitment Coordinator to join our Recruitment Team in the Austin office! 🚀

Your mission: 

Work directly with our US-based Recruiters to provide exceptional administrative support for our hiring teams in Austin, Texas. Our candidates are at the heart of what we do, so you’ll help our recruiters and our hiring teams ensure that they have an amazing experience during each step of the hiring process. You’ll also join and support the wider People Team in the Americas. 🌎

Here’s how you’ll be contributing to our Recruitment Team:

  • Scheduling interviews, managing our AI scheduling tool, and communicating with candidates and interviewers if things need to be shuffled around – This is priority number one and the majority of your workload
  • Setting up hired candidates and completing other administrative tasks on Workday and Greenhouse, as well as coordinating with other People Team members and IT for the successful onboarding of all new joiners in the Americas (some of whom are hired by recruiters in the UK and Europe) – priority two and workload percentage two
  • Setting up candidate assessments in the hiring process and following up on completion
  • Keeping an eye on our hiring processes and ensuring these are as fast and smooth as possible while identifying and removing any blockers, for both the candidates and our teams – including regular email and occasional phone contact with candidates
  • Actively participate and support the global Recruitment Team and your fellow Recruitment Coordinators based in London, Tallinn, and Budapest 
  • Support recruiters by posting roles on our career site and external job boards, as well as internally
  • Support other Recruitment and People Team initiatives in the Americas as needed

About you: 

  • You have exceptional verbal & written English skills – Candidate communications are a big part of and critical aspect of this role – often a first impression and standard bearer for Wise as an employer. Most of your contact will be via email, with occasional phone calls
  • You're organized. You're methodical in your approach to prioritization, meaning that things don’t just “get done” by chance or through any means, but you can create structure so that you’re consistently able to juggle and complete competing tasks that are all important and time sensitive to varying degrees
  • You’re able to work truly autonomously. Your lead is committed to helping you develop, and they will train, coach, and mentor you, as well as remove any blockers if they can, but they won't stand over your shoulder or hold your hand – you will be trusted with the autonomy to deliver your best work, however you see fit to manage your tasks, meet your obligations, and communicate updates and results
  • You're cool under pressure. You take charge in challenging situations and you keep your composure if things get tense. You need to be able to work at a fast pace, and you need to be accepting of constant change and adjust course fluidly – your immediate response to change should be “how do I solve this?” and then begin – retro “why” later. You also assume the best of intentions with your stakeholders – if you tend to take communication personally or feel disrespected, this might not be the role for you since things move fast and “please/thank you” doesn't always happen and sometimes you can do everything correctly, and still need to re-do it because it doesn't work for something entirely out of your control
  • You can handle repetition. Some of the key aspects of this role are repetitive administrative processes that aren’t the funnest thing in the world, but they require extreme precision, total accuracy, and ruthless efficiency… that’s the standard, because if you don’t have that, you’re creating more work for yourself and others by having to re-do tasks – Particularly with scheduling
  • You’re tech savvy. You’ll be a key administrator for several systems, including Workday and Greenhouse, but also Confluence, our career site, and several other systems for background checks, scheduling, job posting, document signing, and lots of Google drives, docs, sheets, and decks. You can pick up new tools quickly and intuitively – to you, having a user manual is great, but you don’t always need one to figure out the process
  • You're a team-player. You're straight up and honest, seriously. You're able to own up to your mistakes and you follow through when you say you will. You also understand that this is a small team in the Americas and we need to support each other to be successful – we wear a lot of hats in the People Team here, but you love to help others and see that as an opportunity, not a hindrance
  • You're growth-oriented. You understand that an open feedback culture is there to help you learn and grow. You crave information and love learning new things. When you disagree, you challenge ideas, not people 🤔 You will also be challenged in this role… you’ll be asked for your opinion on things, and you’ll find problems that you’ll get to create the solution for, and you will always get transparent feedback on all of it
